Wikimedia Europe (WMEU) is an international non-profit association (AISBL) advocating for free knowledge, access to information, and freedom of expression, working to advance the common good and serve the public interest as mandated by the Wikimedia Movement in Europe. Wikimedia Europe represents 26 Wikimedia movement affiliates leveraging 10-year history in public policy design and advocacy in the area of digital rights and extensive tech expertise.
Who we are looking for
Wikimedia Europe is looking for a Finance and Administration Officer to support our team by ensuring smooth and effective operations of our organisation. You will collaborate closely with the executive director and actively form the working environment of your colleagues, and by that the quality of performance of our organisation. This is a new position so we will shape this role jointly, based on specific needs of the organisation and your unique skill set.
Framework of your role
• carrying out general administration, including answering administrative questions, preparing contracts, support of audit activities
• ensuring adequate knowledge management of the organisation in your area of responsibility, including reporting and filing documentation internally and to our accountant
• monitoring the budget, including spending, implementing of allocation decisions and suggesting efficiency measures
• managing payment requests and invoices
• identifying and managing a roster of quality suppliers offering necessary services
• supporting colleagues in implementing specific projects throughout their lifecycle, including in preparation of the proposals, spending modifications or reporting to donors
• supporting preparation of financial reports in line with approved budgets, including aggregation of financial data
• supporting logistics of the team and office, including of meetings, workshops and other events; ensuring office supplies and equipment, as well as travel arrangements of team members

• You need to have min. 3 years of relevant experience – this position requires a good understanding of administrative and financial conditions of running an organisation in Belgium (tax and labour)
• You are proactive, and work independently analysing and prioritising multiple tasks
• You are attentive to details, deadlines, small print, and are not easily deterred by the quirks of bureaucracy
• You are excellent in working with spreadsheets and financial data management systems
• You can work and communicate freely in French or in Dutch and you have excellent command of English, our working language

• A ½ FTE contract with salary between €27.000 and €32.000 annually, depending on the level of experience
